A buyer sends a photo of a pump and asks for a price. The supplier replies with one number. Two weeks later, both sides discover that they assumed different motors, plugs, cartons and accessories. The quote was quick, but it was never comparable.
For an OEM order, define the application and technical configuration first. Then define what the customer sees on the pump, box and documents. A short specification sheet prevents most avoidable back-and-forth.
1. Application and performance
State the water source, water quality, use case, required flow and operating head. Request a performance curve for the exact proposed model and frequency. If several models share a housing, do not assume their impellers or curves are identical. Agree which values belong on the nameplate and which are merely catalog maxima.
2. Electrical and construction

Market requirements vary. Ask which documents apply to your country and product configuration rather than placing a generic “certified” claim on every carton. Keep an approved sample or signed specification as the reference for production.
3. OEM artwork and packing
Provide vector logo artwork, brand colors, nameplate fields, manual language, carton dieline and barcode requirements. Specify the pump color separately from parts that must retain their functional material or finish. Confirm spare parts, accessories, inner protection, carton quantity, dimensions and gross weight. Approve a photographed or physical pre-production sample before mass packing.
4. Commercial terms and inspection
Request prices against the same configuration, quantity and trade term. Confirm minimum order quantity by variant, sample lead time, production lead time, payment terms, warranty scope and inspection plan. If you are comparing two suppliers, give them the same specification sheet; a lower price can simply reflect a shorter cable, different motor or fewer accessories.
